About the Job:

Lark Productions, a thriving Vancouver-based TV production company affiliated with Universal Studio Group, is looking for an enthusiastic, dynamic candidate to join the corporate team. We are seeking an energetic, detail-oriented, and experienced Executive Assistant to provide support to the President/Executive Producer and Head of Production. The ideal candidate should have strong communication skills, the ability to multitask, and thrive in a high-pressure environment. Prior administrative experience and a passion to expand their knowledge of the Canadian TV industry is ideal as this isn’t a traditional EA position. The company is currently in production on various projects, so the candidate will need to be confident with both the corporate and production world as they will be immersed within both. Onset production experience will be a considerable asset. This is an exciting and unique role within a fantastic team with real room for learning and development over time.

Core Responsibilities Include:

– Managing Executive’s calendar and schedule
– Scheduling corporate meetings, calls, and video calls in tandem with production schedules
– Recording and tracking action items and reading lists
– Prepping Executive for meetings and calls and taking notes on production calls
– Managing all admin for Executives including but not limited to:
– Saving, filing, distributing documents according to the systems in place
– Prepping emails, letters, memos
– Dissemination of information amongst the corporate staff
– Prepping and maintaining production binders (both physical and digital)
– Point of contact for all departments
– Organizing domestic and international travel for President and Head of Production
– Tracking corporate receipts and assist credit card and petty cash reconciliation, preparing and compiling expense reports
– Establishing and maintaining positive working relationships with both internal and external contacts and production staff
– Copy editing & proofing creative materials
– Supporting office with miscellaneous ad hoc administrative tasks

Ideal Candidate Requirements:

– 1-2 years experience in television or film production. On-set experience is an asset.
– Strong communication skills both written and verbal
– Exceptional organizational, clerical, and administrative skills
– Ability to anticipate needs of Executives, identifying priorities for both corporate and production-related matters
– Ability to troubleshoot and problem solve in high-pressure situations
– Ability to multitask, prioritize, pivot and meet deadlines
– Excellent attention to detail
– Flexible and adaptable to reflect the fast-paced TV industry
– Ability to provide basic technical support with IOS (Apple) phones and computers, and Microsoft Outlook and Suite (Word, Excel, Powerpoint), Sharepoint and Teams
– Highly proficient in other operating systems and apps such as Dropbox, Zoom, Google Meets, Webex etc.
